How to reconcile an account in QuickBooks Online for the first time
The first reconciliation tells you whether the account was set up right. Each later reconciliation starts where the last one ended, so this one sets the starting point for all of them. Here is the order, with Intuit’s own help article behind each step.

What reconciling proves
Reconciling is a comparison. Intuit has you tick the checkbox next to each transaction in the reconciliation window that matches a transaction on your account statement. You keep going until the Difference is $0.00. Intuit says that means there is zero difference between what is in QuickBooks and what is on the bank statement.
That is the whole claim. A zero difference checks the money. It does not check whether each transaction is in the right category.
Gather the statement
Intuit lists what to have in place before you start. Have the statement for the account you want to reconcile ready. Make sure all transactions for the statement period have been added and categorized in QuickBooks. Double check that your opening balance matches your statement.
Start with the oldest statement, not the newest. The next section explains why the opening balance has to be right first.
The beginning balance problem
Intuit says that if you are reconciling an account for the first time and the balance is wrong, it is often due to an incorrect opening balance. The opening balance is the starting point for the account in QuickBooks. When you first connect a bank or credit card account, QuickBooks sets it using the real account balance from the day you chose to start tracking transactions.
To check it, go to All apps, then Accounting, then Chart of accounts. Find the account and select View Register. Look for the entry labeled Opening balance equity and note its date and amount. Then compare it with your bank statement or your bank’s website for that same date.
If they do not match, select the Opening balance equity entry, edit the amount in the Deposit column so it matches your bank records, and select Save. Intuit says the beginning balance on the reconciliation screen should then match your bank statement.
While you are in the register, look at the check column. The opening balance entry should show an R, for reconciled. Every other transaction should be blank or show a C. Check this before you tick a single transaction.

Working through the month
Go to All apps, then Accounting, then Reconcile. Select Reconcile, or Get started if this is the first time. Choose the account from the Account dropdown. Enter the Ending balance and Ending date from your statement, then select Start reconciling.
Work from the paper statement. For each statement line, find the matching transaction in the window and tick it. A statement line you cannot find is a transaction that is not in QuickBooks yet. Write it down and keep going.
Keep matching until the Difference is $0.00. Then select Finish now, then Done.
When the difference is not zero
Intuit names three common causes. Someone entered an incorrect ending balance at the start. Someone entered transactions into QuickBooks that have not cleared the bank yet. Or there are missing or duplicate transactions in QuickBooks.
Intuit’s order for working through it starts with the balances. Review the opening and beginning balance. Check the ending balance you entered. Then turn to the transactions. If the bank combined several payments into one record, do the same in QuickBooks. Set aside the transactions you know are correct. Enter the ones that are missing. Remove the ones that are not on your bank statement.
Last, review transactions that are slightly off. Intuit notes that a transaction in QuickBooks can closely match one on your statement without being exact. Compare the amounts digit by digit.

Do not force it
QuickBooks will let you finish with a difference still showing. Intuit says that if you cannot find the error you can finish and accept the difference, and QuickBooks will create a journal entry that adjusts your books by that amount. Intuit also says to talk to your accountant before doing this, and that usually it is best to resolve the difference instead.
Take that at face value. The adjustment makes the account balance without explaining why it did not. Intuit’s first step for a difference is to review the opening and beginning balance, so go back there before you accept anything.
