QuickBooks balance does not match the bank: how to find the difference

The Bank balance and the In QuickBooks balance on the Bank transactions page are supposed to differ a little, because of timing. When they differ a lot, one of four things is wrong. Check them in this order.

First, rule out timing

The bank balance is what the bank reports today. The QuickBooks balance includes everything you have entered, including checks you wrote that have not cleared and lines still waiting in Pending. Count the pending lines and any uncleared checks. If they explain the gap, nothing is broken. Reconcile the last statement and the difference will show as zero.

Second, check the opening balance

When an account is first connected, QuickBooks sets an opening balance from the real bank balance on the start date you chose. If that date or amount was wrong, every balance after it is off by the same amount forever. Find the opening balance entry in the account register. It is labeled Opening balance equity and marked R. Compare it with the bank statement for that date, and edit the amount if it does not match.

A gap that has been exactly the same size since day one is almost always this.

Third, look for changed reconciled transactions

If a past month reconciled to zero and the next one will not, something in the reconciled period was edited, deleted, voided or unreconciled. QuickBooks flags this with a notice that the account is not ready to reconcile and offers a Reconcile Discrepancy Report that lists the changes. For deletions that the report misses, the audit log shows who removed what and when.

Fourth, hunt duplicates

If the gap grows over time instead of staying fixed, transactions are being counted twice. Bank lines added when they should have been matched are the usual cause. Sort the register by amount and look for pairs. The duplicates guide covers how to remove each kind safely.

Then reconcile, every month

Reconciling is the only routine that catches all four causes early. Have the statement ready, make sure every transaction for the period is entered and categorized, and work until the difference is zero. A month that will not reach zero is telling you exactly which period to investigate.
