Duplicate transactions in QuickBooks Online: find them and remove them safely

Duplicates inflate income, inflate expenses, and make reconciliation impossible. Most come from the bank feed. Here is how to tell which kind you have and the safe way to remove each.

Two kinds of duplicate

The first kind is still in the bank feed: the same bank line shows twice in Pending. This happens after reconnecting a bank, changing the connection start date, or importing a statement file that overlaps what the feed already downloaded.

The second kind is already in your books: a bank line was added as a new transaction even though the same payment or bill was already entered by hand. This is the one that changes your profit number.

Exclude duplicates that are still pending

Go to Bank transactions, open the account, and in the Pending tab tick each duplicate line and choose Exclude. Excluded lines move to the Excluded tab. They are not added to your books and will not download again. If you excluded the wrong one, open the Excluded tab and choose Undo.

Exclude is the right tool for feed duplicates because it does not touch anything already recorded.

Fix duplicates that are already in the books

Open the account register and sort by amount or date. Two entries with the same date, amount and payee are the suspects. Before deleting, check which one is linked to something else: an invoice payment, a bill, or a reconciliation. Keep the linked one and remove the loose one.

If either entry sits in a month that was already reconciled, do not delete it yet. Removing a reconciled transaction changes the beginning balance of every later reconciliation. Note it on your question list and ask your accountant how to correct it.

Keep them from coming back

Match before you add. When a bank line arrives and the payment or bill is already in QuickBooks, choose Match. Adding creates a second copy. Also avoid importing statement files for a period the bank feed already covers, and reconcile every month so a duplicate is caught within weeks instead of years.
