Exclude, match or categorize: which one in QuickBooks Online?
Match when the transaction is already in QuickBooks. Categorize when it is not. Exclude only when the bank line should not be in your books at all, like a duplicate. One question decides it: does QuickBooks already have a record of this money?

Match: QuickBooks already has it
Intuit says matching links your bank transactions to records you already created in QuickBooks, like invoices, receipts and bills, and prevents duplicate entries. If you already entered the invoice payment or the bill, the bank line for that money is a match.
QuickBooks suggests matches for transactions with the same amount within 90 days before to 20 days after the transaction date. Go to All apps, then Accounting, then Bank transactions, and check the Categorize or Match column. If the suggestion is wrong, select Find other match. When it is right, select Post.

Categorize: it is new to QuickBooks
Categorize when nothing in QuickBooks records the money yet, like a fuel purchase or a software charge. QuickBooks sends downloaded transactions to the Pending tab and suggests a category for each, based on how you categorized similar transactions in the past.
If the suggested category is right, select Post. If not, change the category in the dropdown or add a new one, then select Add. This puts a new transaction in your books, so only do it when there is nothing to match.

Exclude: it should not be in the books
Intuit says that when you exclude a transaction, it does not appear in any account registers or financial reports. That is right for a duplicate bank line, such as the same charge downloaded twice. It is wrong for money that really moved in or out of the account.
To exclude, go to All apps, then Accounting, then Bank transactions. Select the Pending tab, tick the transactions, and select Exclude. If you exclude the wrong one, open the Excluded tab, tick it, and select Undo.

Do not exclude personal spending
A personal charge on the business account is tempting to exclude. Intuit says it is best to add it instead, otherwise your bank account in QuickBooks will not match your bank statement when you reconcile it. Intuit notes that many owners add it to an equity account they created, called owner’s draw.
Ask your accountant how owner money should be labeled for your entity type. A corporation and an LLC treat it differently.

If you matched or categorized the wrong way
It can be undone. From Transactions, select the Posted tab and pick the account. Find the transaction and select Undo. Intuit says QuickBooks moves it back to the Pending tab so you can fix it.

How do I undo a match, categorize or exclude?
